Most teams try to automate a process before they understand it.
The result? A broken process that now breaks faster.
Before you buy another workflow tool, run this 30-minute check on one process:
1️⃣ Write the trigger and end point. What starts it, and what does “done” look like?
2️⃣ List every handoff. Each time work moves between people or teams, it waits. Handoffs are where most of the delay hides.
3️⃣ Count the approvals. For each one, ask: when did this last change the outcome? If the answer is “rarely,” it’s probably just adding delay.
4️⃣ Find the rework loops. Where does work get sent back? That usually points to missing information earlier in the process.
5️⃣ Name one owner. If nobody owns the process end to end, nobody fixes it.
Fix what you find first. Then automate.
Small changes, like removing one handoff or one unnecessary sign-off, often save more time than a whole new system.
